Event Manager (Running/Sports Marketing)

Up & Running Group seeks an Race Event Manager to engage in the development, planning, promotion, and full event execution for all client related events. Serving as a primary role on the special events team, the Event Manager will assist in organizing and executing a wide range of running events all over the country. Event Manager will be required to take lead throughout the event planning process, from inception through to execution, including providing strategic insights and expertise to guide clientís vision to reach their objective.
Event Mangerís job duties and responsibilities will include, but are not limited to:
Create and manage client events from initial meeting, research and planning phase, preparation of on-target event budget estimates, review of rental agreements, oversee third-party vendors, managing day-of events and execution, etc.
Create and maintain a detailed production timeline for all event assets, production elements, premiums, shipping logistics, etc.
Develop and maintain high professional standards and procedures for production of events.
Help create a local grassroots event marketing plans pertaining to each clientís needs.
Assist in the development of event collateral such as handouts, brochures, flyers, credentials, onsite signage, etc.
Identify venues and vendors (research), coordinating site visits, creation of sitemaps and event staffing timelines.
Identify and secure dates of events, venue locations, and review venue contracts.
Lead day-of management for all event operational logistics including set-up and breakdown of all event assets.
Oversee all logistics for event staff including volunteer recruitment, brand ambassadors, load-in/load-out team, race personal, public works, etc.
Maintain excellent client communications by participating in weekly status calls, develop weekly JTBD status reports for review
Develop detailed operationís manual & day-of run of show
Work closely with State and City municipalities and their relevant departments (i.e: Special Events, Parks and Rec, Police, Health, Labor, etc) on all matters within their jurisdiction.
Secure all required permits including: course/road closures, noise, parking, health, waste management, etc.
Coordinate all procedures pertaining to traffic management including: parking locations/services, traffic controllerís/management services, road closures, etc.
Coordinate all procedures pertaining to security including: Police, overnight asset security, course management, etc.
Secure onsite timing partner to manage event day timing needs (chip system, digital clocks, race results, photo finish, etc.)
Obtain all appropriate event sanctioning requirements relating to insurance/coverage including: operations, medical, staff, participants, volunteers, etc.
Develop contingency and emergency plans in case of weather, security and other potential unforeseen circumstances
Develop and manage all VIP and Media hospitality elements
Coordinate all aspects of award ceremony, presentation announcements, video interviews, PR obligations, etc.
Manage and oversee onsite video team, content capture, video production schedule, shot list, etc.
Prepare post event recaps reports for clients and internal purposes
Have a good understanding of working budget and event finances to ensure expenses are on target
Be prepared to perform other duties and special projects as assigned
Bachelorís Degree in Event Management, Sports Management, Marketing or related field. (Masters Preferred)
3-5 years Lead Management experience at stadium, arena, or event related venue.
1-3 years supervisory experience desired.
Proficient in Microsoft Word, Excel and Power Point.
PREFERRED SKILLS IN ADDITION TO MINIMUM QUALIFICATIONS
Exceptional communication and interpersonal skills; meticulous organizational skills, project management and time management skills
Ability to work well under pressures; self-motivated with the ability to solve problems.
Understanding of the internal workings and operations of sporting events.
Candidate must be willing to work irregular hours/weekends, travel out of state to events and possess a valid driverís license.
