Job Overview

Coordinates all sponsorship activation at NYRA facilities to ensure client satisfaction and adherence to contractual requirements, as well as guest engagement. Handles NYRA procurement, orders vendor materials and coordinates NYRA labor to facilitate sponsorship contests, sampling, celebrity appearances, hospitality, trophy presentations, signage and advertising. Creates sales proposals for presentation to prospective sponsors. Conducts qualitative research and lead/contact research to support sponsorship sales team to increase sponsorship sales revenue; Adjusting content of sales presentations to meet the sponsor’s needs and objectives.

Responsibilities

•Administers industry and corporate sponsorship events at NYRA facilities ase sponsorship sales revenue, which involves:
•Reviewing contracts for event details, planning for NYRA internal and vendor external resources and hospitality to fulfill sponsorship elements◦Checking calendar to determine if facilities are available and coordinating activation details with all relelvant NYRA personnel including security, events, racing, and operations.
◦Scheduling sponsorship print media, coordinating design and ordering signage
◦Developing detailed sales proposals using research, video and photography in support of NYRA Director of Strategic Partnerships and Marketing Partnership Specialist.
◦Adjusting content of sales presentations for Director of Strategic Partnerships and Marketing Partnership Specialist;
◦Designing sponsorship activation packages utilizing creativity and the available inventory of NYRA signage, events, digital and print media offerings;
◦Conducting on track events and contests, hosting celebrity appearances, paddock tours, winner’s circle trophy presentations with sponsors, escorting potential sponsors on tours of NYRA facilities;

•Arranges for on-track events for sponsors under the terms of sponsorship contracts. Attends events to ensure that all preparations have been made, and to assist in the resolution of any problems that arise. Coordinates activities with the Director of Strategic Partnerships and Marketing Partnership Specialist to ensure that all sponsor and guest expectations are met with regard to food service, floral arrangements, photographs, signage, decorations, and entertainment.
•Coordinates work with other areas, e.g. food and beverage and facilities, to ensure an efficient and continuous flow of work and high levels of client satisfaction;
•Develops research and prospect database information as instructed by Director of Strategic Partnerships for use as a resource to secure future sales from past sponsors.
•Prepares reports for sponsors to recap their on-track events, including photos, video, behavioral and TV ratings, attendance and participation metrics.
•Resolves sponsor complaints by investigating problems and informing Director of Strategic Partnerships; developing solutions; preparing reports;
•Performs other duties as instructed.

Note: The start date for this job is April 11, 2017 and the end date is September 5, 2017

Qualifications

• Bachelor’s Degree or equivalent experience
•2 years of successful event coordination experience in the thoroughbred racing or sports entertainment industries, 1 year of successful experience in media or event sponsorship sales.
•Computer literacy, in particular with PowerPoint, Adobe, and Excel as well as media, sales, and purchasing databases, driver’s license, relocation to Saratoga in the summer months, and ability to work the racing schedule, including holidays and weekends. Highly professional appearance and business dress standard for dealing with clients in face-to-face meetings at NYRA properties.
