Event Coordinator, International

College Sports

Job Description:

The primary responsibility of this role is to provide operational and sales support to the international event team, primarily working with our Global Football client and owning certain tasks across all events. This position may also work on domestic events based on business need.

Impeccable attention to detail and the ability to work with a team toward common goals are critical. This person must possess the ability to manage multiple tasks and projects, anticipate event needs, discern work priorities, and meet deadlines with minimal supervision. Functions will include assisting travelers, providing customer service via inbound calls, processing reservations, gathering, organizing and maintaining large amounts of data.

Event Portfolio
• Global Football – Various High School / College teams who travel internationally. Typically coordination of 6-8 tours annually.
• International Collegiate Tours – Various Clients who take part in International trips.
• On Location NFL International Series – support the coordination of fan travel for NFL International Series Games in London and Mexico.

Other necessary proficiencies include effective communication skills, both written and oral. Strong computer skills, including knowledge of Microsoft Excel and Outlook are also required. This individual should demonstrate a desire to learn and grow, and offer ideas and suggestions to streamline event processes. Past experience in dealing with travel, customer service, billing or invoice reconciliation, customer invoicing or/and reporting is preferred. This position will require travel, including weekends and holidays.


Event Coordination
• Customer service support both in the office via phone and on-site for events.
• Tasks will include reporting, invoicing, collections, managing reservations, posting of payments both made and received, and reconciliations.
• Assist in developing and executing specific procedures, analyze and challenge current processes, and offer suggestions to streamline procedures.
• Assist in creating and distributing updated event information to the sales staff.
• Support the customer service team during peak call times via weekly phone shifts.
• Will be required to learn and manage fully all areas of Anthony Travel’s proprietary reservation system including hotel inventory, rooming lists and additional tour items.
• Assist in managing the fulfillment process for events including ordering components, coordinating delivery of packages, and developing informational print materials.
• Support the Event Managers with their needs and responsibilities, as necessary.


Marketing and Sales
• Website support: provide content, generate new ideas, and ensure accuracy of information.
• Work with Marketing Team to identify potential customers, initiate outbound calls, prepare and send email blasts, and implement other sales tactics.
• Sell AT services to current and potential customers primarily through phone and email communications and identify opportunities to cross-sell ATI services.
Reporting
• Create internal and external reports that highlight progress and support decision making.
• Create and review client and vendor reports including key data and financial information.
• Assist in developing and executing specific procedures, analyze and challenge current processes, and offer suggestions to streamline procedures.
• Compile event summary information and maintain historic sales reporting on all collegiate and international events.
