Position Description:

The VIP Strategist will be responsible for organizing and executing dinner parties and banquet events for approximately 250 – 500 guests for the Rock ‘n’ Roll Marathon Series. He or she will work closely with the VIP Manager to create memorable VIP experiences for sponsors and their guests. This position includes but will not be limited to updating and maintaining guest lists, designing, implementing and mailing out of invitations and VIP Packets, adhering to budget guidelines, creating menus, floral and décor design, as well as working closely with many members of the CGI team. In the absence of the VIP Manager the VIP Coordinator will assume the role of the onsite VIP Manager and will execute events with extreme professionalism and courtesy.

Responsibilities:

-Designing and creating VIP documents, stuffing and mailing VIP Packets
-Maintaining and updating guest lists and overall event preparation
-Creating a theme, determining menu, booking caterers, venue, entertainment, as well as floral design and implementation
-Maintaining guest list, filing, notebooks, warehouse stock
-Researching new venues, traveling to cities to see venues, meet caterers and do pre-event planning
-Follow up after events, thank you letters, budget recap, notes and research for the next year
-Shopping, researching and preparing for events.

Qualifications:

-College degree preferred
-Detail oriented, professional and articulate
-Proficient in Microsoft Word, Excel and PowerPoint
-Out of the box and creative thinker a plus
-Positive attitude is a must
-Works well under pressure, be a team player, feel comfortable mixing and mingling with sponsors and city officials, and be able to act appropriately and not react inappropriately
-VIP Coordinator position requires travel a minimum of 7 weeks per year
-Degree in communication or hospitality management or 3 - 4 years in the events industry
-Ability to travel
