Title: Group Lodging Sales Representative

General Duties: The Group Sales Representative is responsible for increasing group-specific lodging-related business at Whitefish Mountain Resort as defined by department and company goals. Sales efforts will focus primarily on wholesale and direct group lodging business including family groups, ski groups or clubs, and family reunions. Direct sales products are primarily lodging and lift tickets and activities but coordination with the Catered Events Sales Representative on any catered needs or meeting space may also be necessary. All team members perform various tasks based on seasonal demands. The Marketing department is located in the administrative offices on the 2nd floor of the Hibernation House. The Group Sales office is located on the base level of the Ed and Mulley’s building. Both spaces are accessed via stairway.

Job Specifications:
• 4-year college degree preferred.
• Two years minimum experience in sales, meetings, events and/or ski industry preferred.
• Requires good verbal and written communication skills.
• Basic accounting skills and billing knowledge.
• Proven ability to communicate and cooperate with customers and employees.
• Computer experience required (MS Word, MS Excel, Outlook).
• Experience in customer management (Microsoft Dynamics preferred) and Lodging reservation software (Streamline preferred) is preferred.
• Must be able to work in a team atmosphere while meeting the challenges of multitasking, achieving goals and meeting deadlines.
• Must be available for extensive travel at key times of the year and to work a flexible schedule including weekends as directed.
• Ability to prioritize, organize and manage multiple projects simultaneously with accuracy and detail.
• Must be a self-starter and able to work independently with little supervision.
• Must have the ability to change work priorities to best accommodate customer needs.
• Ability to work under pressure and in a busy environment.
• Ability to develop effective working relationships with fellow workers and supervisors; ability to deal courteously and tactfully with public.
• Must be able to work within the framework of the company and the department policies and procedures as set forth in the employee manuals.
Specific Duties:
• Work with groups to plan both summer and winter trips to Whitefish Mountain Resort with on-mountain lodging component.
• Primary focus on developing wholesale and direct group business including but not limited to establishing relationships with councils, clubs, colleges, corporations, wholesalers, etc. geared toward growing the group lodging segment of our business, often on targeted dates and in specific property types.
• Responsible for identifying and developing sales opportunities necessary to accomplish specified targets and goals.
• Responsible for managing group from initial contact through completion.
• Responsible for understanding and utilizing lodging software, ticket POS software, actively tracking business in Microsoft Dynamics, and creating and following through on contract proposals.
• Accountabilities include making financial expenditure decisions within the established budget.
• Proposing budget changes/adjustments to Sales Manager and Marketing/Sales director prior to each season
• Organizing and hosting the on-mountain component of the annual Group FAM trip including working with lodging partners to set up the schedule, attendees, transportation, etc.
• Knowledgeable of all mountain products and services, including the ability to communicate this information effectively.
• Updating collateral and working with other departments to establish season group rates and offerings.
• Assisting with wedding coordination as necessary in the summer months.
• Managing group donation packages for fall and spring travel while coordinating with lodging partners.
• Assisting with contract updates (both Wholesale and Group Specific)
• Working with 3rd parties to facilitate transportation and off-mountain activities.
Safety & Wellness:
It will be the responsibility of all team members to ensure that our internal & external guests enjoy a safe and risk-free environment. All team members must be on constant alert for any unsafe conditions and work behaviors. This will involve, but not be limited to, periodic inspections of work and public areas. Follow up notification will be done to correct the condition or practice at the earliest possible opportunity.
Work Environment:
• Moderate physical activity required by handling objects up to 20 pounds frequently and up to 50 pounds occasionally.
• Able to be seated at a desk and computer workstation for extended periods of times daily.
• Ability to stand for hours at a time.
• Ability to walk, tour and inspect properties / grounds around village area as needed.
• Requires ability to access the various village resort facilities and experience the resort snowsports activities on a regular basis.
• Job will require working weekends, holidays, and evenings during peak demand times.
• Non-smoking environment.
