Terms of Employment: 7 1/2 hours per day: 204 days per year
Position Summary: The Athletic Secretary supports the Athletic Director by coordinating athletic schedules, events, communications, records, event workers, officials, and department operations to ensure athletic programs run smoothly and professionally.
Job Requirements:
- Minimum of a high school diploma; associate's or bachelor's degree preferred.
- Prior experience in an administrative, school, or athletic setting preferred.
- Proficient in secretarial skills, computer applications, Microsoft Office, Google Workspace, and social media platforms.
- Strong organizational, communication, time-management, and multitasking skills.
- Ability to work cooperatively with students, staff, families, officials, visiting schools, and community members while maintaining confidentiality.
- Ability to work evenings and weekends as required by athletic schedules.
- Willingness to learn athletic operating systems such as Eventlink, FinalForms, IHSAA.net, MileSplit, MeetPro, USABracketing, and related platforms.
Minimum Responsibilities:
- Provide administrative support to the Athletic Director and coaching staff.
- Manage and maintain athletic schedules, calendars, event logistics, records, files, and documentation.
- Complete weekly confirmations of athletic events with schools, officials, transportation, and other necessary parties.
- Assist with scheduling buses, securing officials, and coordinating workers for home athletic events, including ticket takers, scorekeepers, announcers, and other event staff.
- Communicate information related to athletic events, including phone calls, emails, general inquiries, schedule updates, and event changes.
- Assist with set-up and tear-down of home athletic events as needed.
- Create and manage athletic communications and promotional materials, including social media posts, team rosters, programs, and other department materials.
- Attend conference and scheduling meetings alongside the Athletic Director when needed.
- Support fundraising efforts, athletic department initiatives, occasional errands, and other program needs.
- Assist with coordination of extracurricular activities, co-curricular facility usage, and athletic calendar accuracy.
- Ensure compliance with school, conference, and state athletic association policies and expectations.
- Serve as a positive representative of the athletic department and school community.
Physical Requirements:
- Ability to stand and move for extended periods during athletic events.
- Ability to lift and carry equipment up to 25-40 pounds as needed.
- Willingness to work outdoors in varying weather conditions.
