The Associate Athletic Director for Internal Operations serves as a key member of the Florida Memorial University Athletics senior leadership team and assists the Athletic Director in the overall administration and operational management of the department.

This position provides leadership and oversight of internal departmental operations, including sport administration, athletic event management, facility operations, student-athlete support services, and administrative coordination. The Associate Athletic Director works collaboratively with coaches, athletics staff, and campus partners to ensure efficient departmental operations while supporting the mission of Florida Memorial University Athletics to promote competitive excellence, academic success, integrity, and holistic student-athlete development.

Essential Functions:

Department Leadership & Internal Operations

  • Serve as a senior member of the athletics leadership team and assist the Athletic Director in the administration and strategic direction of the department.
  • Provide oversight of internal operational functions of the athletics department including coordination of programs, personnel, and administrative processes.
  • Assist with development and implementation of departmental policies, procedures, and operational standards.
  • Support departmental strategic planning initiatives and operational goals.
  • Assist the Athletic Director with departmental evaluations, program assessments, and administrative planning.
  • Serve as Acting Athletic Director when designated

Sport Administration & Program Oversight

  • Serve as the sport administrator for assigned athletic programs as designated by the Athletic Director.
  • Provide leadership, oversight, and support to head coaches and program staff.
  • Monitor program budgets, competition schedules, practice planning, and operational needs of assigned sports.
  • Conduct regular meetings with coaching staffs to ensure alignment with departmental policies, expectations, and institutional priorities.
  • Assist with hiring, onboarding, mentoring, and evaluating coaches and athletics staff.
  • Support professional development initiatives for coaches and athletics personnel.

Facilities, Game Operations & Event Management

  • Provide oversight of athletic facilities operations, event management, and game-day operations through supervision of assigned athletics personnel.
  • Coordinate operational planning for home athletic contests and departmental events.
  • Ensure effective scheduling, staffing, and logistical planning for athletic competitions and special events.
  • Supervise graduate assistants, work-study students, and game-day personnel assigned to athletic events.
  • Coordinate the scheduling and use of athletic facilities for both athletic and external events.
  • Ensure all competitions and events are conducted in accordance with institutional policies and conference standards.

Sports Medicine & Student-Athlete Support Services

  • Provide administrative oversight and coordination of the Sports Medicine unit.
  • Support operational processes including purchase orders, medical documentation, physical clearance procedures, and staffing coordination.
  • Ensure appropriate medical coverage is available for practices and competitions.
  • Promote the health, safety, and well-being of student-athletes.

Athletic Business Operations & Reporting

  • Assist with monitoring departmental budgets and operational expenditures.
  • Support financial planning and fiscal oversight within the athletics department.
  • Assist with preparation and submission of institutional and national reporting requirements including:
  • Equity in Athletics Disclosure Act (EADA)
  • Return on Athletics (ROA)
  • Coordinate internal administrative processes and documentation across the department.

Institutional Collaboration & Administrative Coordination

  • Serve as a liaison between the athletics department and key campus offices including Human Resources, Housing, Student Affairs, and Academic Affairs.
  • Coordinate onboarding processes for newly hired coaches and athletics staff.
  • Foster collaborative partnerships across campus to support student-athlete success and institutional goals.

Student-Athlete Development & Community Engagement

  • Provide leadership and support for student-athlete development initiatives.
  • Serve as advisor or coordinator for student-athlete leadership organizations and engagement programs.
  • Provide leadership and oversight for community engagement initiatives and outreach activities involving athletic teams to enhance the visibility and impact of Florida Memorial University Athletics within the campus and surrounding community.
  • Promote life-skills development and leadership opportunities for student-athletes.

Student-Athlete Welfare & Institutional Leadership

  • Support departmental initiatives that promote student-athlete welfare and overall well-being.
  • Assist the Athletic Director in ensuring equitable opportunities, resources, and support services for all student-athletes.
  • Provide administrative leadership on matters related to student-athlete experience and departmental culture.
  • Serve as a representative of the athletics department on institutional committees related to student success and campus engagement.
  • Support institutional initiatives related to diversity, equity, and inclusion within athletics.
  • Perform other duties as assigned by the Athletic Director or designee to support departmental and institutional priorities.

Knowledge, Skills, and Abilities:

  • Demonstrated leadership and administrative experience in collegiate athletics.
  • Strong knowledge of NAIA or NCAA rules, conference policies, and institutional compliance standards.
  • Ability to manage multiple programs, personnel, and operational priorities simultaneously.
  • Experience supervising coaches and athletics staff.
  • Strong organizational, administrative, and decision-making skills.
  • Excellent written and verbal communication skills.
  • Ability to collaborate effectively with campus partners and external stakeholders.
  • Commitment to student-athlete welfare, academic success, and leadership development.
  • Ability to exercise sound judgment and maintain confidentiality.

Minimum Requirements:

  • Bachelor's degree required.

Master's degree preferred (Sports Administration, Education, Business, or related field).

  • Minimum 5-7 years of progressive experience in collegiate athletics administration, coaching, or athletics operations.
  • Experience supervising staff, managing athletic programs, or overseeing departmental operations.
  • Experience serving as a sport administrator within a collegiate athletics department.
  • Experience with athletic event operations and facility management.
  • Experience with compliance oversight and institutional reporting.
  • Working within NAIA or NCAA athletics programs.
  • Experience supervising multiple sports programs or athletics operational units.
