Provide secretarial and administrative office support to the Associate Athletic Director for Business and the Director of Business Operations and assist with general office duties of the Athletic Business Office. Provide administrative support for specific sports programs including their respective coaches and senior administrators. Responsible for compliance with all NCAA rules and regulations. Produce correspondence and documentation through typing, word processing, formatting, use of charts, graphs and other visuals, collating, photocopying, binding, etc., according to the standards of the department and the College; proofreads for content, language and grammar. (25%) Perform basic and intermediate computer functions including managing databases, creating, analyzing, and integrating spreadsheets, creating mail and envelope merges, and the ability to import graphics and other information into a document. (25%) Organize and maintain calendars, schedules and filing systems and records that may include confidential information. (10%) Prepare and maintain records, files and databases, some of which may be confidential. (10%) Responsible for the accurate maintenance and reconciliation of financial accounts, processing of payments, transmittal reports, billing and data entry. (5%) MARGINAL DUTIES: Answer phones, greet and direct visitors to appropriate areas or persons. (5%) Sort, open and distribute individual or departmental incoming mail and prepare outgoing mail. (5%) Coordinate calendars for meeting attendance, reserve/schedule meeting rooms and make arrangements for equipment, seating, and refreshments. (5%) Operate and perform basic troubleshooting for fax and copy machines. (5%) Perform basic and intermediate mathematical functions on adding machines/calculators. (5%) Perform all other duties as may be required. High School education or equivalent. Two years of related experience or an equivalent combination of education and experience. Working knowledge of word processing and database systems required. Excellent organizational and communications skills also required. Ability to work under deadline pressure and to prioritize assignments while juggling multiple tasks.
